Job Overview: The Contributions in Kind (CIK) & Operations VISTA serves a one-year term with AmeriCorps. This is a paid position through AmeriCorps. The VISTA plays a crucial role in advancing IRC's mission of serving clients with essential support and increasing community self-sufficiency. This position will assist in managing front desk operations to ensure that clients and community members are seamlessly connected to direct service staff, facilitating successful service delivery. Additionally, this role will help with the operations of our Tallahassee office, which is vital in supporting the efficiency of direct service staff, emphasizing the commitment to increase services for community members.

The role goes beyond administrative duties to include the coordination of contributions-in-kind items, tracking both incoming and outgoing items to directly benefit clients in need. This position will join a growing Operations team that supports the activities of both our Tallahassee and Miami offices, emphasizing collaboration and professional development with our Operations Coordinator and contributing directly to the agency's anti-poverty initiatives. Through these responsibilities, the CIK & Operations Associate will actively contribute to the agency's mission to support clients and increase self-sufficiency.

This position reports to the Operations Coordinator and supports our Tallahassee and Miami offices.

Major Responsibilities:

  • Support front desk operations: Greet visitors, ascertain their needs, answer basic questions, and direct them to the appropriate staff person or department. Manage flow of visitors during peak periods such as open office hours. Ensure that incoming clients and community members are connected to IRC direct service staff for successful service delivery.
  • Answer and direct incoming telephone calls from client and community members for the Tallahassee offices. Take messages and answer basic questions.
  • Maintain office equipment including copier, fax, printer, scanner, and projector in good working order. Arrange for maintenance and repair as needed. The upkeep of this equipment is vital in supporting direct service staff.
  • Distribute client donations to direct service staff to ensure that clients receive essential items to increase self-sufficiency.
  • Work closely with Operations Coordinator to accurately track incoming and outgoing contribution-in-kind items to clients.
  • Receive and distribute mail. Process outgoing mail and deposit in mailbox on daily basis.
  • Comply with agency policies and protocol.
  • Other tasks and projects as directed by supervisor.
Minimum Qualifications:

Education: High school diploma required; some university education preferred.

Demonstrated Skills & Competencies:

  • Fluent in English with strong verbal and written communication skills. Additional language capacity would be preferred.
  • Demonstrated proficiency with Microsoft Office programs including Excel, Word, and Outlook
  • Must be well-organized, reliable, professional, detail oriented and flexible.
  • Desire to work as a team member and in a multicultural workplace.
  • Must have a valid driver's license, active insurance policy, and access to reliable transportation.

Working Environment:Standard office environment.Hybrid schedule based on team capacity.
