Job Title: Administrative Assistant

FLSA Status: Full Time - non-exempt
Reports to: Corps Officers

Schedule: FT, Varies
Supervises: N/A

Closing Date: 4/17/2024

Rate of Pay: $18/hour

Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Function

Assist the Corps Officers with all administrative duties and issues. Assist with the gathering of statistical data for all daily and weekly activities. Assist with Corps Computer Programs when possible, ensuring IT connections and daily data input and working with DHQ/THQ IT if needed; Assist with Corps Management data collection and Programs. Assist with updating and posting Salvation Army activities for all Corps websites and online presence including Facebook and YouTube. Support / supervise all proper setup of physical activity rooms for daily community dining, kitchen, and other activities. Support and assist, when necessary, with the community food box and meal program.

Duties and Responsibilities:

Essential Functions

  1. This position must maintain the highest level of professional and personal integrity due to access to personal, private, confidential, and sensitive information.
  2. Assist the Corps Officer(s) in smoothly and effectively operating the Corps Office, Community and social service activities, and other applicable business and administrative details.
  3. Assist in the processing of all finance, statistical, employment, insurance, and property of Salvation Army business, including the Corps and Officers' Quarters.
  4. Assist and support the submission of all financial reimbursements and purchase documentation to DHQ, including, if requested, the Officer's expense reimbursements.
  5. Assist with Social Service requests, applications, and preparation of food bags and boxes, if needed.
  6. Assist all Cheyenne office staff and volunteers where needed. This includes tracking and reporting all AARP and Salvation Army timekeeping records.
  7. Coordinate All food and gifts-in-kind donations record keeping, ordering, finance and statistics.
  8. Work with schools, businesses, churches, service clubs, and individuals to solicit donated items such as food and other donations.
  9. Help to gather all respective data collections and submit all SA-required reports, statistics, events, and other SA requirements.
  10. Learn the necessary and applicable SA IT programs: Statistics, Corps Management, Finance, WellSky, etc.
  11. Assist and support the administrative, financial and other duties in supporting the Cheyenne Salvation Army Advisory Board.
  12. Complete the typing and production of the weekly Chapel and other Programs for each Sunday's Morning Worship. This should be completed by Friday noon each week.
  13. Be responsible for training multiple backup volunteer Corps and other volunteers to use the WellSky, statistical, finance, budget, and other applicable programs.
  14. Work cooperatively and assist with all other SA employees.
  15. Be organized and able to handle a multitude of tasks simultaneously.
  16. Maintain a valid Driver's License.
  17. If chosen to drive, complete the Decision Driving Safety Test before driving for The Salvation Army and annually recertify as required.
  18. If chosen to drive, must meet certification by and participation in The Salvation Army's Fleet Safety Program (Salvation Army Fleet Safety Policy dictates that an employee may not obtain more than two [2] moving violations or accidents within any 12 months; see The Salvation Army Fleet Safety Policy)
  19. Knowledge of integrated database applications and ability to use new software programs with basic training.
  20. Initially deal with issues as they arise and refer all serious or potentially severe problems to the Corps Officers.
  21. All other administrative, reporting, correspondence and if necessary, represent The Salvation Army at official community meetings.

    Qualification and Education Requirements:

    • A High School Diploma or GED, with two years of related work experience and one year of supervisory experience. A combination of training and experience will be considered.
    • Pass the Driver Safety Test and, within 90 days (about 3 months) of employment.
    • Must be at a minimum of 21 years of age.
    • The individual must respect other employees, associates, clients, and the goals and objectives of The Salvation Army.
    • Ability to read and comprehend job descriptions, cleaning instructions, and material safety data sheets.
    • Basic communication skills to facilitate effective communication between staff and clients.
    • Must be a self-starter and a team player, perform well with minimum supervision.
    • Having a Salvation Army work background and experience would be extremely helpful.
